Administrative Assistant II

The administrative assistant is responsible for providing phone and administrative support to the center director and therapists. The administrative assistant will have strong skills with Microsoft Word, Share point, and have the ability to navigate social media. In this position, you will be required to have a high level of customer service skills when dealing with clients on the phone and at the center. You must possess a professional demeanor and at the same time have the ability to be empathetic with our clients.
Answering incoming phone calls and making client appointments adhering to hippa guidelines
Returning client phone calls and email messages
Making daily confirmation calls and texts for clients coming in the following day
Scheduling new clients in our Share Point system
Correspond with therapists via email regarding client concerns, appointments, and scheduling changes
Correspond with lead administrator regarding client concerns, appointments, and scheduling changes
Work as a team with the lead administrator and take direction from her
Making copies for therapists, lead office administrator, and director
Ordering and picking up office supplies
Proof reading and editing letters
Writing and mailing letters to community organizations
Working with director to increase call volume
Updating the WAP Center facebook page weekly
Must have the ability to work independently
Other administrative responsibilities as needed
Knowledge of Windows and strong ability to learn Share Point
Have the ability to navigate social media
Must be able to multi task
Strong ability to converse with our clients over the phone in an empathetic manner and schedule new appointments
Strong ability to formulate and edit letters
Rate of pay- $12.00 per hour. This is a part time position with the potential to become full time. Mondays-off, Tuesday-Friday- day-time hours.
Candidate must be available for employee training the week of April 20th.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
